Customer Challenge

As Cleatpath's client base and document volume grew across its IT, Power and Green Energy, and eCommerce business lines, document storage and records management had not scaled to match. Business and client-related documents were spread across local devices, shared network drives, and informal cloud storage tools, with no centralised system to track file metadata or search across the organisation. Locating a specific document often meant manually checking multiple storage locations or relying on whichever staff member last handled it.

There was no automated way to move older, infrequently accessed documents to lower-cost storage, so storage costs rose steadily with no corresponding optimisation. Access to sensitive business and client documents was governed by informal, device-level permissions rather than centrally managed controls, and no formal, tested backup or recovery process existed, leaving Cleatpath exposed to permanent data loss from device failure, accidental deletion, or corruption.

Partner's Solution

Digitspot designed and deployed a secure, serverless document management platform for Cleatpath, built entirely on managed AWS services. Amazon S3 provides durable, centralised storage for uploaded documents, replacing the previous mix of local devices, shared drives, and informal cloud tools. An S3 ObjectCreated event notification automatically invokes an AWS Lambda function on every document upload, extracting metadata β€” file name, storage location, size, storage class, and upload timestamp β€” and writing it to Amazon RDS for MySQL, giving Cleatpath a single, structured, searchable metadata repository for the first time.

Amazon RDS for MySQL is deployed in a Multi-AZ configuration to protect the metadata repository against Availability Zone failure, and AWS Secrets Manager securely supplies database credentials to Lambda at runtime, removing any hard-coded credentials from application code. An Amazon S3 Lifecycle policy automatically transitions documents older than 90 days to S3 Glacier Instant Retrieval, reducing long-term storage costs while preserving fast, on-demand retrieval whenever an archived document is needed.

AWS Backup provides scheduled, automated backup and recovery for the metadata database, replacing the informal, untested backup practices previously in place. Amazon CloudWatch centralises logging and monitoring across the Lambda function, giving Cleatpath operational visibility into the platform that did not exist before. The entire solution was deployed within a private Amazon VPC, with IAM execution roles scoped to least-privilege access.

  • The metadata repository is protected by Multi-AZ database resilience and scheduled AWS Backup recovery points, closing a previously significant data-loss risk
  • Cleatpath's team can now focus on the business rather than manually locating, tracking, and safeguarding documents across disconnected storage locations
